Coordinator

Job description
UX Association requires a coordinator to help with its growth with its local and international clients. Provides organizational support to the UX Association management team in three parts; Financial, Human resources, and Admin.  Based in Chiangmai, coordinator is mainly responsible for creating and gathering all financial document by cooperating with accounting, on boarding new employees, and ensuring office supplies are maintained.
Responsibility

  • Greeting and directing visitors, answering phone inquiries, and handling complaints in a courteous, professional manner

  • Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times

  • Occasionally traveling off-site to deliver reports or files to other departments

  • Ensuring the confidentiality and security of files and filing systems

  • Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring that everyone is kept current on necessary company news and information

  • Operating copy equipment, fax machines, printers, or other equipment necessary

  • Onboarding new employees, provide the necessary equipment and greeting with onboarding pack

  • Ensuring onboarding process is completed and support new employees on accessing company email, application, and cloud storage

  • Gather all financial documents, payslip, invoices, and quotations submit the necessary financial documents to an accountant

  • Follow up with employees, clients, and students on the financial process

Key Qualifications

  • Bachelor's Degree or equivalent work experience, preferably with a focus in Human Resources Management or Business Management.

  • At least 1 - 2 years of administrative or HR working experience.

  • Good organization, attention to detail, good time management, and taking the initiative.

  • Excellent interpersonal and communication skills

  • Good communication and relationship management skills.

  • Capability to understand and appreciate a project's perspective on unfilled demand and communicate status, challenges, action/support needed from the project, etc., to fill the demand.

  • Ability to remain confident under pressure and work with project teams collaboratively to address issues.

  • Comfortable working in the office and virtually.

  • Collaborative, working across organizational entities and building and maintaining solid networks.

  • Good in English communication
